1. Listening to the Concern
The employee reached out feeling frustrated and unsure about how to proceed. We acknowledged the urgency and stress of missing tax documents, especially with the filing deadline approaching.
2. Clarifying the W-2 Deadline
We informed the employee that employers are required by federal law to furnish W-2s to employees by January 31st of each year. While some employers may file for an extension with the IRS, this does not waive their obligation to provide employees with access to their W-2s in a timely manner.
3. Providing Reporting Resources
Since it was already April, we provided the employee with the IRS contact information (1-800-829-1040) to report the missing W-2. We also explained what documentation they would need when calling, including their most recent paystub, the employer’s name and address, and the approximate wages earned.
4. Offering Alternative Filing Tips
We walked the employee through the basics of Form 4852, a substitute for Form W-2, which the IRS allows employees to file when their W-2 is missing and they’ve exhausted efforts to retrieve it.
5. Continued Support
We encouraged the employee to follow up with the IRS and offered to answer additional questions as they navigated the next steps.
